Confidentiality Policy

Your Back Office Collective (“we”, “our”, “us”) is committed to maintaining the confidentiality and security of all sensitive information entrusted to us by clients, employees, contractors, and business partners. This policy sets out our obligations and expectations regarding confidential information.

• Personal information (names, contact details, TFNs, payroll information)

• Financial information (bank details, invoices, financial statements)

• Business information (processes, operational data, strategies, client lists)

• Any information provided in writing, orally, electronically, or through cloud-based platforms

Confidential information does not include information that is publicly available, already known to the recipient, or required to be disclosed by law.

2. Scope of the Policy

This policy applies to:

Clients who share sensitive business or personal data with us

Employees of Your Back Office Collective

Contractors or subcontractors engaged to provide services on our behalf

3. Obligations

All parties covered by this policy must:

1. Treat confidential information with the highest degree of care.

2. Use confidential information only for the purpose of providing or receiving services.

3. Not disclose confidential information to any third party without prior written consent from the owner of the information.

4. Take reasonable steps to protect confidential information, including secure storage and restricted access.

 

4. Exceptions

Disclosure of confidential information may occur only:

• To comply with legal obligations or regulatory requirements

• With prior written consent from the owner of the information

• When information becomes publicly available without breach of this policy

 

5. Duration

Confidentiality obligations under this policy continue indefinitely, even after the termination of any engagement, employment, or contractual relationship with Your Back Office Collective.

 

6. Consequences of Breach

 

Breaching this policy may result in:

• Termination of engagement or employment

• Legal action for damages or injunctions

• Reputational and financial consequences for the party at fault

 

7. Implementation

• All employees and contractors must read, understand, and acknowledge this policy prior to handling client information.

• Clients will be informed that we operate under this policy as part of our engagement agreements.

• We regularly review data handling procedures to ensure continued compliance and protection of confidential information.
